What happens to the information your staff type in.
Is our data used to train AI models?
No. Content your staff enter is used to produce your draft and nothing else. It is not used to train models, and it is not shared with other customers.
Where is our data stored, and for how long?
Data is stored in the United States. Your organization controls retention: drafts and uploaded documents each have their own retention window, which an administrator can shorten at any time. When a retention period ends, the content is deleted automatically.
Who inside our organization can see what a colleague drafted?
Drafts are private to the person who created them unless they choose to share. Administrators can see usage totals — how many requests a department used — but not the content of individual drafts.
Can we restrict which departments a staff member can access?
Yes. Administrators assign department access by role, so a Parks & Recreation coordinator sees Parks helpers and not, for example, City Attorney material.
What happens to our data if we cancel?
You can export your saved helpers and draft history before the subscription ends. After cancellation, your content is deleted according to the retention terms in your contract.
Accuracy & public accountability

Is the AI writing official city documents?
No. It writes a draft. A staff member reviews, corrects, and approves everything before it is used. The tool is an assistant, never the author of record — and the product says so on every screen where a draft appears.
What if the AI gets a fact wrong?
It can. That is why every draft carries a human-review requirement and why staff are asked to verify facts, names, dates, and figures. Municiprompt is designed to save drafting time, not to remove professional judgment.
Are AI-generated drafts subject to public records requests?
Treat them exactly as you would any other working draft created by staff. Your records retention policy governs; we do not change your obligations. Talk to your city attorney about how drafts fit your existing schedule.
Does using this create a disclosure obligation?
That depends on your state and your own policies — several states now have guidance on disclosing AI assistance in government communications. We recommend confirming with your city attorney, and we can supply documentation of how the tool is used to support that review.

How to actually buy this inside a public-sector process.
Can you provide documentation for a request for proposal (RFP)?
Yes. We provide a pricing schedule, standard contract terms, and security documentation you can attach directly to a solicitation.
Do you accept purchase orders instead of a credit card?
Yes for city and department plans. Individual Professional subscriptions are paid by card. City plans are quoted and invoiced against a purchase order (PO) or contract.
Can we start small before committing to a citywide contract?
Yes. Start with a single department, prove the value internally with its usage report, and expand to a citywide plan when it goes to council — what you have already paid is credited toward the larger plan.
Are multi-year terms available?
Yes. Multi-year agreements are available and are typically how cities lock in pricing across budget cycles.
Will we ever get an unexpected bill?
No. Every purchase is prepaid or approved by an administrator in advance. If a department exhausts its included AI requests, the tool stops and prompts an administrator — it does not keep running and invoice you later.
Getting started
What the first month actually looks like.
Do our staff need any AI training or technical skill?
No. Helpers are written in plain language and describe the task, not the technology. Staff pick the task they need, describe their situation — by typing or by speaking — and get a draft.
Can staff speak their input instead of typing?
Yes. Every helper accepts dictation, which matters most for field staff — police, fire, EMS, public works — who are describing something in the moment rather than working from a document.
How long does rollout take?
An individual is productive in minutes. A citywide rollout is typically scheduled around a Guided Onboarding Session, department access setup, and inviting staff — most cities are live within a couple of weeks.
What support is included?
City plans include onboarding. Additional training sessions are available as an add-on, and a help center with how-to articles is available to every user.

How is a city plan priced?
By population band, which is the closest proxy to how many staff will use it. Each band includes a seat count and a pooled allowance of AI requests shared across departments.
What if we use more than our included requests?
An administrator can buy a prepaid pack or upgrade capacity. Nothing runs over silently.
