Public records and retention
Municiprompt does not change your obligations under your state's public records law. What it can do is make the material easy to find, export, and dispose of on the schedule you already keep.

What is a record here
- Drafts
- Treat a draft created here exactly as you would a working draft a member of staff wrote at their desk. Your existing retention policy governs; we do not classify it for you.
- Uploaded documents
- Documents your city loads in are already your records. Storing a copy here does not create a new class of record or a new obligation.
- The request itself
- What a member of staff typed to produce a draft is stored with that draft, so a request for the record can be answered completely rather than in pieces.
Retention
- Your administrator sets it
- Drafts and uploaded documents each have a retention window that an administrator sets and can shorten at any time. Content is deleted automatically when the window closes.
- Deletion is deletion
- Deleted content is removed from the live system and falls out of backups on the backup rotation, rather than being hidden from view and kept.
Responding to a request
- Export
- An administrator can export a member of staff's drafts and library, with timestamps, in a form that can be attached to a response.
- Legal hold
- Retention can be suspended for an account or a department while a matter is open, so nothing ages out mid-litigation.
- Who did what
- The audit log records administrator actions with the actor and a timestamp, which is usually what an inquiry actually wants.
Your city's data is encrypted, isolated, and never used to train AI
Everything you upload or generate is encrypted in transit with TLS 1.2 or higher and encrypted at rest with AES-256. Each city's content is isolated to its own tenant, so no other organization can read it. Your documents and drafts are never used as training data by us or by our AI providers, and retention periods are set by your administrator.
